Executive Assistant Responsibilities:

 

  • Offer first-class, one-to-one administration, secretarial, and executive assistant support to the Director
  • Manage the Director's diary, which involves coordinating meetings, conferences, and calls, ensuring they are prepared ahead of time
  • Attend meetings alongside the diary, taking minutes and noting action points
  • Arrange travel and accommodation within the UK and overseas
  • Professionally handle incoming calls and emails, ensuring they are dealt with professionally and in an appropriate manner
  • Prepare letters, reports, and other correspondence as required
  • Create engaging PowerPoint presentations to be used and distributed by the Director
  • Liaise with managers and directors within the company to promote a positive and ongoing relationship
  • Prepare for and welcome visitors
  • Support with all general administration tasks including photocopying, filing, formatting documents, and ordering office equipment

 

Executive Assistant Skills and Experience:

 

  • Previous experience gained as an Executive Assistant, including experience of supporting senior stakeholders on a one-to-one basis
  • First-class administration skills, able to produce high quality, concise documents, reports, and presentations
  • Skilled and professional communicator, confident liaising internally and externally and working with senior management
  • Possesses unrivalled organisation and time management skills, able to manage complex diaries, prioritise an ever-changing workload, and meet tight deadlines
  • Confident handling sensitive information and understands the importance of maintaining confidentiality
  • IT literate with advanced knowledge of Microsoft Excel, PowerPoint, Word, Dynamics, and Outlook
  • Adaptable and flexible in your approach to work, with a can-do, positive attitude
  • Enjoys working on own initiative and is happy to take the lead
